How to schedule AI multilingual simultaneous interpretation for Zoom / Teams / Google Meet meetings in advance — no app installation required for participants

TransGull is the ideal solution if you (department leads, admins or meeting organisers) plan a cross-border / multilingual online meeting and do not want to burden colleagues, external clients or guests with downloading or registering for new apps.

Simply submit your meeting schedule via TransGull beforehand, and the GullBot will automatically join your Zoom, Microsoft Teams or Google Meet meeting room at the scheduled time to provide real-time simultaneous interpretation for all participants.

Follow these 3 simple steps:

  1. Download and Register TransGull

  2. Schedule GullBot Interpretation

  3. GullBot joins Meeting Automaticly and Starts Interpretation

Let’s take a closer look!

Step 1:Download and Register TransGull

1. Visit transgull.com to download the client for Windows or macOS.

2.After installation, create your TransGull account:

Quick Login: Sign up or log in with one click using your Google or Apple account.

Email Registration:

  • Enter your email address and click Send Verification Code.

  • Check your email inbox and enter the code.

  • Set your password and click Register Now to complete registration.

Step 2: Schedule GullBot Interpretation (Set up multilingual meetings)

1. Launch the Feature: Open TransGull desktop app and select GullBot Interpretation.

2. Paste Meeting Details:

Copy the full invitation text from Zoom, Teams, or Google Meet and paste it directly into the Paste Meeting Details. TransGull will automatically extract the meeting link and scheduled time.

3. Configure Language Pair:

Set this according to the number of languages involved in the meeting:

  • Bilingual meeting: Select 2 languages, then choose the two languages for interpretation (e.g. Korean ↔ English, Japanese ↔ English).

  • Multilingual meeting: Switch to the More than 2 languages. Select all languages involved in the meeting (e.g. English, Korean, French, Japanese). GullBot will provide multilingual simultaneous interpretation.

4. Configure Session Details:

· Time Zone: Set automatically based on your local system time (use the drop-down menu to change it for cross-time-zone meetings).

· Start Time: Keep as Now for immediate sessions, or select Start time to set a future date and time.

· Estimated duration: Set your estimated meeting duration (e.g., 30 mins, 60 mins).

· Topic (Optional): Add a meeting name for easy tracking in your GullBot Calendar.

5. Confirm & Schedule: Review your settings and click Start Now or Schedule GullBot Interpretation.

You can view and manage all upcoming sessions in your GullBot Calendar.

Step 3:Automatic Join & Real-Time Interpretation

1. GullBot Joins on Time:

At the scheduled time, an AI bot named TransGull Interpreter will automatically join the Zoom, Teams, or Google Meet meeting.

Upon entry, it will share a web link for bilingual interpretation in the in-meeting chat (see screenshot below ⬇️).

2. Accessing Interpretation via Link:

Attendees do not need to install any app or browser extension. Simply click the link in the chat to open the web-based translation page:

  • If you own a TransGull account, log in to listen and view translations online.

  • If you don't have a TransGull account, select View as guest to view bilingual subtitles in your browser.

Default interface language: After participants open the interpretation webpage via the link, the interface language loads automatically with no manual setup required.

Freely switch languages: To change target languages, open the language dropdown menu at the top of the page and switch anytime to view or listen to your preferred language.

Once the language is selected, bilingual subtitles will display in your browser in real time.

Click Play at the bottom right corner to listen to live simultaneous interpretation (playback volume adjustable).

💡 Tip: We recommend using headphones when listening to audio interpretation to prevent your microphone from picking up the translation output and creating an echo.
